Tracking payments and your finances

How to get paid and record payments, how Earned totals work across currencies, and how a payment can automatically activate a Pipeline project.

Keeping track of what you've earned

TCB helps you see the financial side of your work — what each project is worth, what has been paid, and what you've earned overall — without a separate spreadsheet. The Finances page brings it all together: payments your clients make online, payments you record manually, and your totals.

How do clients pay me?

Two ways, and you can use both:

  • Online, by card. Connect a Stripe account in My Account → Getting Paid and every invoice you send by email includes a secure Pay now button. When the client pays, TCB records the payment automatically and marks the invoice as paid — no manual entry. Your balance and payouts live in the wallet inside Finances.   • Bank transfer (or any method you already use). Save your payment details in My Account → Getting Paid, then, while editing an Invoice in the Document Builder, turn on the option to show those details on the document. The option only becomes available once your Getting Paid information is filled in and saved. After the client pays, record the payment in TCB (see below) so your project status and earnings stay up to date.

Recording a payment

When a client pays you outside of Stripe, you can record that payment against the relevant project. TCB keeps a payment history per project — online and manual payments side by side — and rolls everything up into your dashboard totals, so your numbers stay current as money comes in.

A payment can activate a project

If a payment lands on a project that is still in Pipeline — whether you record it manually or your client pays online — TCB will automatically move it to Active: getting paid is a clear signal that the work is on. When this happens, the project's tasks load and all document types unlock.

There is one exception: on the Free plan, you can have up to 3 active projects at a time. If your active slots are already full, the payment is still recorded, but the project stays in Pipeline. To activate it, complete or pause an existing project to free a slot — or upgrade to Plus to remove the limit. Read What happens when I reach my active project limit? for details.

Earned totals

Your dashboard reflects the financial data from your Active and Completed projects, so you can see your earnings at a glance. Completing a project preserves its financial data — it keeps counting toward your totals even after the work is done.

If you work in more than one currency, totals are shown as per-currency subtotals (like €1,200 · $800) — TCB never converts your money behind your back. Read Working with multiple currencies for how that works.
